Inclusivity Is a Design Choice

Accessibility isn't a checklist item—it's a mindset. When you design for the margins, you improve the experience for everyone.

Physical Accessibility

  • Choose venues with step-free access, accessible restrooms, and adequate elevator capacity.
  • Reserve seating near the stage for wheelchair users and those with mobility aids.
  • Ensure signage is at readable heights with high-contrast text and Braille where possible.
  • Sensory Considerations

  • Provide CART (real-time captioning) and ASL interpreters for deaf and hard-of-hearing attendees.
  • Offer a quiet room for attendees who experience sensory overload.
  • Use microphones for all speakers—even in small rooms. "Can everyone hear me?" isn't an accessibility plan.
  • Dietary & Cultural Inclusion

  • Offer halal, kosher, vegetarian, vegan, and allergen-free options without requiring special requests.
  • Label all food clearly and prominently.
  • Provide a prayer or meditation room for attendees who observe religious practices.
  • Gender Inclusivity

  • Use gender-neutral language on all materials ("attendees" not "ladies and gentlemen").
  • Provide gender-neutral restroom options.
  • Include pronouns on name badges.
  • Neurodiversity

  • Publish a detailed schedule in advance so attendees can plan their energy.
  • Provide fidget tools and noise-canceling headphone stations.
  • Minimize surprise loud noises (warn before applause prompts, pyrotechnics, etc.).
  • Financial Accessibility

  • Offer sliding-scale or scholarship tickets.
  • Provide free or subsidized transportation options.
  • Make sure networking events don't revolve exclusively around paid food and drink.
  • Ask, Don't Assume

    Include an accessibility question on your registration form: "Is there anything we can do to make this event more accessible for you?" Then actually follow through.

    Inclusive events aren't just the right thing to do—they're better events, period.
