Before you tour a single space, answer these: What mood are you going for? How many people are actually coming? What's the budget line you won't cross?

Get those clear and the venue almost picks itself.

1. Capacity and layout

Too big and it feels hollow. Too small and it feels like a subway car. Ask for floor plans and a few layout options — theatre, banquet, cocktail — so you can picture how people will move.

2. Location and access

Pick somewhere most of your guests can reach without a saga. Think airports, hotels, transit. Step-free access isn't a nice-to-have — it's non-negotiable.

3. Ambiance

Natural light and good bones mean you'll spend less on décor. Visit at the same time of day your event will actually happen. A room that glows at 10am can feel like a hospital corridor at 7pm.

4. In-house services

Some venues bundle catering, AV, and coordination. Convenient — but only if the quality holds. Ask to see a real event, not a styled shoot.

5. Hidden costs

Service charges, corkage, overtime, insurance. The "affordable" venue with three surprise fees is not the affordable venue.

One pro move

Book two visits: one scheduled, one unannounced. The drop-in tells you how the place runs on a normal Tuesday — which is closer to what you'll actually get.
